Goals

Update: Ongoing. Updated in 2020 plan to be "Protect and Secure Information"

Objectives

  • Implement and maintain an Information Systems Security Plan (ISSP) to ensure data is always secure, confidential, reliable and available.
    Update: Ongoing - completed running the OPI's MAEFAIRS application (school finance system) through our risk and security processes. Completed inventory of all OPI systems and preparing to utilize the GRC tool to store pertinent information and automate ISSP processes for other OPI apps.
  • Provide annual student record confidentiality and cybersecurity training for OPI staff.
    Update: Cyber security training is now done annually with ~80% of staff completing training. Ongoing with annual student record confidentiality training.
  • Fully implement the Legislative Audit Division’s Data Collections Audit recommendations.
    Update: Complete.

Update: Replaced with "Enhance Our Data Collection, Reporting and Analytics Capabilities" in 2020 plan.

Objectives

  • Implement Unified Desktop Workspace (UDW) to decrease environmental impact and improve security.
    Update: Completed, using VDI for a large portion of remote workers.
  • Improve collaboration with internal and external entities via technologies that allow reaching a larger population and is more efficient.
    Update: Ongoing. GOV Delivery, TEAMS and ZOOM use have been implemented. Deployment of OPI Intranet on State MINE platform completed.
  • Identify and prioritize business functions where OPI can better leverage already provided services
    Update: Ongoing. We have eliminated a number of OPI-specific vendors or applications over the last two years and have moved towards SITSD or vendor provided solutions and platforms.

Objectives

  • Deploy Unified Desktop Workspace to improve security, reduce support costs and environmental impact
    Update: Completed, using VDI for a large portion of remote workers.
  • Improve methodologies of endpoint deployments and upgrades
    Update: Ongoing. Improvements over the last two years include full deployment of desktop management tools and optimized processes. All endpoints are now managed and updated regularly.
  • Use Use teleconferencing technologies to reach a larger population for information sharing and collaboration
    Update: Ongoing. GOV Delivery, TEAMS and ZOOM use have been implemented. Deployment of OPI Intranet on State MINE platform completed.

    Update: Completed
  • Career path and training for all employees
    Update: Ongoing. Converting all positions to pay plan 25 and using the opportunity to make sure all job profiles are up to date and accurate as some have evolved over the years.
  • Align staff/organization with projects and mission
    Update: Ongoing. Over the last 1 and a half years the former Measurement & Accountability Division and IT have been merging into a single division. We are currently realigning some of the work units within the Division to better align with how work is being conducted.

Update: Changed to "Improve Communications and Awareness" in 2020 plan with new objectives identified.

Objectives

  • Develop and implement ESSA report card data processes
    Update: Ongoing. The 2019 and 2020 report cards released and data processes defined. With COVID and the resulting changes to data we'll have available, we expect this to change.
  • Continue to develop employees’ understanding and use of technology
    Update: Ongoing. We've rolled out "just enough" training and resources to help employees adapt and use technology where subject matter experts not necessarily in IT are providing resources..
  • Develop plan to replace legacy systems with sustainable and supportable platforms
    Update: We migrated from our in-house bulk email communications tool to GOV Delivery.
